Who we are

Vancouver Character Events provides character entertainment for events across Metro Vancouver, British Columbia.

We have designated a Privacy Officer responsible for how we handle personal information. Questions, requests and complaints reach them at info@vancouvercharacterevents.com or (778) 800-6940.

What we collect

When you contact us or book an event: your name, email, phone number, company or organization name when relevant, event address, event date and details, the characters and services you choose, and the name and age of the birthday child or guest of honour when you give them to us. Payment is handled by our payment processor — we never see or store your full card number.

When you apply to perform with us: the information and video you submit through our audition form.

When you browse this site: the pages you visit, how long you spend on them, how far you scroll, and which parts of a page you interact with — along with your device and browser type, the approximate city you are in, and the link that brought you here.

How our website analytics work

We do not use Google Analytics or advertising networks. We use our own website analytics and Vercel's website analytics and performance services. Interactions with our QR campaign are measured by our own first-party collector.

We do not store cookies for analytics, and we do not put any identifier on your device.

To count visits without identifying anyone, we create a temporary code from your IP address, your browser type and a secret value that changes every day and is never saved. Your IP address itself is never stored. Because that secret changes daily and is discarded, there is no way for us — or anyone else — to connect your visit today to a visit tomorrow.

If your browser sends a Global Privacy Control or Do Not Track signal, our first-party collector does not record your visit or campaign interactions.

On our adventure campaign page, we may temporarily keep your selected world and campaign labels — such as the advertisement source, restaurant location and campaign name — in your browser's session storage. This lets a refresh retain your world and the campaign that brought you here. These labels do not contain your name, contact details or a unique visitor identifier and are limited to that browser session. If you send an inquiry, those campaign labels and your selected world accompany your request so we know which advertisement helped you find us. Our anonymous analytics session identifier is not attached to your inquiry.

Why we collect it

To answer your enquiry and plan your event; to process bookings and payments; to assign and schedule performers; to meet our tax and business record obligations; and to understand which parts of this website people find useful so we can improve them.

We do not sell your information. We do not share it for advertising. We do not use it to build a profile of you, and we do not attach your anonymous browsing history to your booking record. Campaign labels on an inquiry describe the advertisement, not a personal browsing profile.

Seasonal adventure invitations

If you join our seasonal adventures list, we save your name, email, the adventures you selected so we can send you news and booking invitations for those adventures. Joining the 2027 list registers your interest in all four quarterly adventures. It is separate from a party enquiry and does not reserve tickets.

You can ask us to remove you from this list at any time by emailing info@vancouvercharacterevents.com. We do not add party enquirers to this list without their separate signup.

Who else handles it

We use these service providers, and only for the purposes above: Supabase (database), Vercel (website hosting), Stripe (payments), Resend (email), Quo (text messages), and Google Drive (photo, video and document storage).

Our database is hosted in Canada.

Children's information

This website and our services are intended for adults arranging events. We don't knowingly collect information directly from children.

When you tell us the name or age of the birthday child, we use it only to plan and personalise that event — greeting the child by name, choosing age-appropriate activities. It is never used for marketing, never shared, and never included in our website analytics.

How long we keep it

Website analytics: 90 days, after which only anonymous totals remain — counts of visits and page views, with nothing tied to any individual visit.

Booking and payment records: seven years, as required for tax and business records.

Enquiries that don't become bookings: two years. Audition submissions: one year, unless you join our team.

Your rights

You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Email us and we will respond within 30 days.

One honest limitation: because our website analytics contain no identifier for you, we have no way to find “your” browsing data even if you ask. There is nothing there to retrieve, correct or delete.

If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca.

Security

Data is encrypted in transit and at rest. Access to booking records is restricted to authorised staff, and performer accounts are individually credentialed.
